How the GoAhead Works: Sawa's Four-Traveller Confirmation, Step by Step
By Islam Hussein · October 25, 2026

In short: The GoAhead is the moment a Sawa date reaches four travellers and is confirmed to run. Reserving a seat is free, and nothing is charged before the GoAhead. At the GoAhead you pay a 10% deposit; the full payment is due two days before departure. Low numbers cannot cancel a confirmed date, and if someone doesn't pay, they are released and the tour runs for everyone else. If a date never reaches four, nothing was charged.

The quick answer
The GoAhead is the moment a Sawa date reaches four travellers and is confirmed to run.
Key facts at a glance
What the GoAhead is: the moment a Sawa date reaches four travellers and is confirmed to run.
Who runs the tour: a Ministry-licensed, ETAA-registered Egyptian operating company, named on the departure page once it accepts and on your booking confirmation.
Minimum to confirm: four travellers (people, not bookings, so a party of four can confirm a date alone).
Maximum per departure: eight travellers; when a departure fills, a second departure opens on the same day.
Cost to reserve: free, with no card charged and no hold placed.
When payment starts: only at the GoAhead, with a 10% deposit paid as soon as the date confirms.
Full payment: due two days before departure.
If the date never reaches four: the deadline is three days before the tour; nothing was charged, nothing to refund, and Sawa suggests other dates.
If someone drops out or doesn't pay: the date still runs for everyone else.
Cancelling less than 48 hours before departure: charged in full. Cancelling earlier is a full refund, and so is a force majeure event such as riots or a revolution.
The marker: a gold dot on confirmed departures.
Price per traveller: fixed, with no solo surcharge, however the group fills.

Paying a deposit for a group tour before you know the group will ever exist is the part of tour booking nobody enjoys. The GoAhead is Sawa's answer to it: a date only becomes a trip you pay for once enough travellers have joined to make it real. This guide explains how the GoAhead works step by step, exactly when money changes hands, what happens to a date that never fills, and what happens if someone drops out or doesn't pay. It is written by the people behind Sawa Tours (sawa.tours), the Egypt shared-departure platform. We have worked in Egyptian tourism since 1993, first as a guide and then running an agency. For the rules in short form, see the GoAhead promise; this page is the explanation behind it.
How does Sawa Tours work?
Sawa Tours is an Egypt shared-departure platform that pools travellers from several licensed Egyptian travel agencies onto the same date of a fixed tour. A date only becomes a trip you pay for once four travellers have joined it.
Pick a tour and a date. Real group sizes, departure times and prices are listed on each departure page.
Reserve your seat free. No card charged, no hold placed.
The date confirms at four travellers. Sawa calls this the GoAhead.
Pay the deposit, then the balance. A 10% deposit at the GoAhead, the full payment two days before departure. The tour runs under a Ministry-licensed, ETAA-registered Egyptian operating company, named on your departure page and booking confirmation.
Sawa is a marketplace, not the tour operator. It is operated by Online Era (commercial registration 148500, General Sales Agent licence no. 32241), which forms the group, confirms the date and collects payments as agent. Every tour is run by a licensed Egyptian travel company.
What is the GoAhead?
The GoAhead is the moment a Sawa date reaches four travellers and is confirmed to run. Until then the date is forming: seats are reserved but the group isn't complete. At four, the date is marked with a gold dot on the departures page, and from that moment it is a confirmed trip.
Four is not an arbitrary number. A guide, a vehicle and the day's fixed costs are the same whether two travellers show up or eight. On a typical day tour, three travellers cover those costs, and four gives a margin of safety. That is why a confirmed date is not cancelled for low numbers afterwards: the group that justifies the trip is already on it.
One honest limit: the GoAhead is not immunity from everything. Low numbers cannot cancel a confirmed date, but events beyond anyone's control, such as riots or a revolution, can still force a change. In that case of force majeure you receive a full refund. And if you cancel, the cancellation terms below apply.
The life of a booking, step by step
From first click to travel day, a Sawa booking moves through seven stages, and money only enters at stage five.
You pick a tour and a forming date. Reserving a seat is free: no card charged, no hold placed on anything.
The date sits on the departures page as forming. Travellers from several licensed agencies join the same date, with the same guide, vehicle and price for everyone.
The fourth traveller joins. The date reaches the GoAhead: confirmed to run.
The operator is named. Your booking shows the operating company, the Ministry-licensed Egyptian company that will run the tour, before any deposit is due.
Payment starts. You pay a 10% deposit, due as soon as the date confirms. Only now.
Two days before departure, the balance is due. The full payment completes your booking.
Travel day. The operator's Egyptologist guide leads the group, and Sawa's WhatsApp (+20 109 284 7613) is answered 24/7 during trips.
When are you charged, and when are you not?
Money only moves after the GoAhead. Before that, a reservation costs exactly nothing.
Reserving a seat: Nothing: no card charged, no hold placed
The GoAhead (four travellers): A 10% deposit
Two days before departure: The full payment (the balance)
You cancel less than 48 hours before departure: Full fees
You cancel more than 48 hours before departure: A full refund, including your deposit
The date never reaches four: Nothing: you were never charged
One rule makes the whole model fair: the price is fixed per traveller, with no solo surcharge, however the group fills. Whether your confirmed date ends up with five travellers or eight, you pay the price you saw when you reserved. In a force majeure event such as riots or a revolution, you receive a full refund.
What happens if a date doesn't reach four travellers?
If a forming date never reaches four travellers by three days before the tour, it does not confirm, and everyone who reserved pays nothing, because there was never a charge to refund. Sawa then suggests other dates for the same tour, including days that are already confirmed.
Will your date fill? Honestly: faster in peak season and on popular day tours than in quiet seasons or on multi-day departures. You never have to guess, because the departures page shows which dates are forming and which are confirmed. If your date stalls, you have three moves:
keep the free reservation and watch it;
start your own date: pick the tour and the day, Sawa's team reviews it, and it opens for others to join; or
switch to a date that is already confirmed.
Start your own date
If the day you want isn't listed, start your own date on any tour page. Pick the tour and the day; Sawa's team reviews it before it opens, and then other travellers can join it. The same rules apply: reserving is free, the date confirms when four travellers have reserved it, and you pay nothing until then. Your own reservation counts towards the four.
What happens if someone drops out or doesn't pay?
The date still runs. Confirmed departures are not cancelled for low numbers, so one traveller leaving does not end the trip for the others.
A traveller who cancels is treated under the cancellation terms above. Everyone else travels exactly as planned, in the same group, with the same guide.
A traveller who doesn't pay the deposit when the date confirms, or the balance two days before departure, is excluded from the tour. The tour keeps running for the travellers who have paid.
The price stays the same. Because the price is fixed per traveller, the people who remain never pay a penny more to cover an empty seat. There is no solo surcharge and no last-minute top-up.
How the GoAhead compares to a normal group tour booking
The GoAhead changes the order of things: the group confirms first, the payment follows. Many ordinary group tours run that in reverse.
When you pay: Sawa shared departure: A 10% deposit only after four travellers confirm the date; Typical group tour: A deposit at booking, before you know it will run; Private tour: At booking
Cancellation risk: Sawa shared departure: Runs once confirmed; no charge if it never confirms; Typical group tour: May be cancelled for low numbers after you have paid; Private tour: Runs, but you pay for the whole vehicle
Refund path: Sawa shared departure: Nothing charged before confirmation; after, the cancellation terms shown up front; Typical group tour: A refund process after the operator cancels; Private tour: Per contract
Who runs it: Sawa shared departure: A Ministry-licensed operator, named on the departure page; Typical group tour: One agency; Private tour: One operator, your group
Who fills the group: Sawa shared departure: Several licensed agencies pool travellers; Typical group tour: One agency's own marketing; Private tour: You
How to book a GoAhead-confirmed departure
On the departures page, dates marked as confirmed are already running: reserve, pay the deposit, travel. Forming dates show how far they have to go: reserve a seat free, and you only ever pay if the date reaches four travellers. If your day isn't listed, start your own date on any tour page.
The GoAhead promise page spells out the rules, and the FAQ carries the same numbers as this guide. A good first example is the Aswan to Abu Simbel tour (Temples of Ramses II & Nefertari), from €84 per person. Questions about a specific date? Message Sawa on WhatsApp at +20 109 284 7613.
Frequently asked questions
Is the GoAhead a guarantee?
It guarantees the part that usually goes wrong: once a date is confirmed, low numbers cannot cancel it, even if someone drops out. It is not immunity from everything: events beyond anyone's control, such as riots or a revolution, can force a change, and you receive a full refund in that case; cancellation terms apply if you cancel.
Do I pay anything to reserve a seat?
No. Reserving a seat is free: no card is charged and no hold is placed before the GoAhead. You can hold seats on a forming date at zero cost, and if the date never confirms, you have lost nothing.
When do I pay, and how much?
A 10% deposit when the date reaches the GoAhead, and the full payment two days before departure.
What happens if my Sawa departure never confirms?
It does not confirm and you pay nothing, because nothing was ever charged. Sawa then suggests other dates for the same tour, including days that are already confirmed, so you can rebook immediately.
What if I cancel?
Cancelling more than 48 hours before departure is a full refund, including your deposit. Cancelling less than 48 hours before departure is charged in full. In a force majeure event such as riots or a revolution, you receive a full refund.
What if one of the four travellers doesn't pay?
A traveller who misses the deposit or the balance is excluded from the tour, and the tour keeps running for everyone who has paid.
How many travellers does a Sawa departure need?
Four travellers confirm a departure, and eight is the maximum. When a departure fills, a second departure opens on the same day. The same guide, the same vehicle and the same fixed price apply to everyone in the group, however it fills.
Who actually runs the tour I book through Sawa?
A Ministry-licensed, ETAA-registered Egyptian travel company, named on the departure page once it accepts and on your booking confirmation. Yes. Pick the tour and the day on any tour page; Sawa's team reviews it, and it opens for others to join. The same GoAhead rules apply.
What does the gold dot mean?
